When you book with us, you are accepting these terms and conditions regarding your booking with us. If you are making the booking on behalf of someone else, you are confirming that you are authorised to do so on their behalf and that they agree to be bound by the terms and conditions within.
There may also be supplementary terms and conditions imposed by third party websites which will also apply where necessary.
1. Payments
When making your booking, you will need to confirm the booking with a valid credit or debit card. The hotel does not store your card details. Your card is authorised via an encrypted link to ‘Secure Trading’. Your card will be pre authorised before arrival via our secure site ‘Secure Trading’.
By providing us with a credit or debit card, you are authorising us to charge to this card any monies that become owing to us before, during or after your stay with us, or that are related to your booking.
Payment is on departure. You may use a different card to settle your bills to that used for pre authorisation when making the booking.
2. Cancellations and amendments
Please notify us as soon as possible if you need to amend your booking in any way. You can call us on 01635 201325 or email infoProyaloakyattendon.com.
We will make every effort to accommodate any request you may have made to have a particular room, however we reserve the right to move you to a different room if required. We will cover any additional expense that this move may incur.
We hate cancellation charges as much as you do, but in the event that we cannot resell you room, we will charge the full amount of the first night’s stay if you cancel after noon the day before check in.
For bookings made via third party websites, there may be supplementary cancellation charges — please refer to their booking terms and conditions. Any amendments for third party bookings must be made through the third party.
We reserve the right to cancel all or part of your booking immediately as a result of your failure to comply with any of these terms and conditions. We will not be liable for any losses to you or any of your party that this may incur.
In exceptional circumstances we may have to cancel your booking entirely. If this happens, we will notify you as soon as possible, and we will make reasonable efforts to relocate you to a similar establishment as near as possible to us. We will not be liable for any associated costs that this may incur.
We do not accept liability for unforeseen circumstances or events beyond our reasonable control that may affect or prevent the performance by us of our obligations to you. These circumstances include, but are not limited to, adverse weather conditions, fire, riot, war, terrorist activity (or threat of such activity), industrial dispute, natural disaster, interruption or failure of utility supplies or injuries or death of an individual(s) through accidental circumstances unconnected with us.
3. Damages
We reserve the right, and you hereby authorise us, to charge your credit or debit card for the costs of any repairs or specialist cleaning of any of the premises or its contents or fixtures or fittings which may be required as a result of any damage incurred to them during your stay as a result of your, or that of anyone who formed part of your booking, behaviour or acts or for any items that are missing or damaged following your departure.
4. Check in and check out
Check in is between 3 pm and 10 pm on the day of your booking.
Please let us know if you are planning to arrive before 3 pm and we will endeavour to have your room ready, or to have an area to leave your bags. Please note that this will not always be possible, especially on Saturdays.
The hotel does not have 24 hour reception, closes at 11 pm Monday to Saturday and 10.3o pm on Sundays, and no one lives on site, so if you are planning to arrive after 10 pm you must contact the hotel beforehand so we can make arrangements for your arrival.
Check out is by 11 am. Late check outs are not always possible but please do ask a member of staff and we will endeavour to accommodate your request. There may be a charge for late check outs.
5. Miscellaneous Car parking
There is free parking both in the village car park opposite the hotel, and in the surrounding lanes. Please note that the village can get extremely busy, so the car park fills up very quickly.
All cars left on site or off site are at the owners own risk and the management cannot accept any responsibly.
No smoking
It is against the law to smoke in any part of the building ( Health Act 2006 ). A charge of £200 will be applied to your room account should you smoke or permit smoking in your bedroom.
Age of guests
All residents should be 18 years or older, any younger guests must be accompanied by an adult (person 18 years or older).
Children
We do allow children of all ages to stay in the room, and are charged at £15 per child. Let us know if you would like a Z bed made up for them.
Dogs
We do allow well behaved, quiet and clean dogs in the rooms but we ask that we are notified before arrival.
There is a charge of £m per pet.
Dogs must be accompanied and kept on a lead at all times.
There may be areas of the hotel where we need to restrict access of dogs depending on events going on in the hotel.
We reserve the right to ask guests to remove their dog from the premises if we deem it necessary.
Hotel events
There are frequently events such as weddings and large parties held at the hotel which may affect access to various parts of the hotel, and which you may feel intrude on the enjoyment of your stay. If these affect you in any way, we shall endeavour to inform you of these when you make your booking or upon arrival, but if you would like information on any of these events, please contact the hotel prior to your arrival.
Good behaviour
As a responsible host we believe that all of our guests and staff have the right to be treated with dignity and respect, to be protected from inappropriate behaviour and that the health and safety of them and of the premises is respected at all times. As such, you are requested not to disrupt the comfort and enjoyment of other guests or the smooth running of our hotel, or to cause offence to other guests or our members of staff.
Should any actions by a guest of your party be deemed inappropriate by us, we reserve the right to refuse accommodation or services or to remove you and members of your party from our hotel and to restrict access to your room(s) immediately and without notice. Depending on the severity of the guest actions, guests may be asked to leave the hotel. Guests’ liability for their account is not waived and guests agree to be held personally liable in the event that any indicated person, group, company or association fails to pay all or part of any charges.

Property
We will not be responsible for the loss or damage of any property left anywhere on our premises other than as required under the Hotel Proprietor’s Act 1956 or any other applicable law.
